Submitting Your Request
Requests must be completed using one of the following appropriate forms:
Requests must also meet the request criteria. Most importantly, the request must be made in writing at least one month prior to the event.
Please also provide with your request an accompanying brief letter on the official organisation or a charity headed paper.

Player Appearance Requests
The HSBC Waratahs work hard in the local community by supporting events and fundraising efforts wherever possible. The HSBC Waratahs receive many player appearance requests which the team endeavours to meet within the constraints of the players' training, playing, travel and other commitments.
TahMan Requests
TahMan, the Waratahs' Mascot, is very popular within the rugby community and a special hit with our younger fans. TahMan is available for school visits, community events and charity fundraising requests.
Successful requests
If you are successful in your request please be aware that separate permission is required should you wish to include the planned appearance of HSBC Waratahs in the promotion of your event through advertising.
Please note that player schedules are often subject to late change. Whilst Waratahs Rugby will always endeavour to fulfil all commitments, occasionally due to players’ availability or injury, player appearances may be cancelled or amended at late notice, or fulfilled by a replacement player. Should this occur, Waratahs Rugby will contact you as soon as possible to discuss alternatives.
Autographs
Players are always happy to sign autographs when personally approached at appearances and after training or games. Waratahs Rugby is unable to accept, nor take responsibility for, merchandise sent to the HSBC Waratahs for signing and these items will be sent back to the owner unsigned.

Charity Request Guidelines
The HSBC Waratahs have longstanding relationships with a number of charities from across the community and work hard to provide support and fundraising opportunities wherever possible.
Player Appearance Request
The HSBC Waratahs are proud to currently support eight Charities through player appearances. These are Cure for Life Foundation, Legacy, Ovarian Cancer Research Foundation, Starlight, Fresh Tracks Foundation, Salvation Army, Beyond Blue, and the Big Brother Program: YWCA.
Due to these commitments, the HSBC Waratahs Players are unable to commit to player appearances for any other charities during the 2013 Season.
Memorabilia, Merchandise & Match Ticket Requests
Waratahs Rugby does not provide cash donations but is sometimes in a position to provide merchandise, both signed and unsigned. All requests will be considered on merit and as merchandise stocks permit.
Any merchandise supplied should be used for fundraising for the charity or group. Donated merchandise cannot be used for any other purpose other than that stated on the application and cannot be sold for any individual’s profit.
Waratahs Rugby has a limited number of tickets to Super Rugby home games for community purposes. Tickets supplied can only be used for the purpose stated on the application and cannot be sold for any individual’s profit.
The Approval Process
Anyone submitting a Player Appearance Request Form or a Request for Memorabilia Form will receive email confirmation of their submission from Waratahs Rugby within seven days.
Please note: If you do not receive a confirmation email, your request has not been received or your forms are incomplete. Waratahs Rugby does not accept responsibility for contacting organisations who submit incorrect or incomplete requests.
Your request will be assessed according to the request criteria. This process may take up to one month but you can usually expect a response within one to two weeks.
Please note: Even if your request satisfies the criteria, we cannot guarantee it will be met due to the overwhelming number of requests we receive.
Once your request has been assessed, you will receive written confirmation of our decision either by post or via email. Please note that we are unable to enter into correspondence regarding unsuccessful requests and that Waratahs Rugby's decision is final.
